Workflows

Workflows SOP Work flows are used to tell the system to do specific, automated actions. Work flows are executed during the import process for shipments, so actions related to later stages in a shipment’s lifecycle (ex. billing, special requirements with carriers) cannot be accommodated.

 

Examples of common work flows are:

  • Import Holds (ex. once order is imported, wait an hour before releasing to the pick queue)
  • Order Holds (If order is over $500, place order on hold with message XYZ, if order is from Country A, place on hold with message XYZ)
  • Tag-related (ex. if order is tagged with Shopify tag X, place order on hold with hold message XYZ)
  • Adding SKUs (ex. add one unit of SKU A if order is over $100) (this can also include adding inserts as long as they are set up as a SKU)
  • Adding Packaging (ex. use branded box A if order contains SKU A and B)
  • Swapping SKUs (ex. if order comes in with SKU X, swap to SKU Z until out of stock)
  • Shipping Zones (ex. if mapping override appears as free 2 day shipping, please change carrier to service X only if shipment is going to zone 1)

 

To access the page, navigate to Support > Work flows from the main menu:

 

The overview page will provide you a quick look at the date and time your workflows were created, the workflow ID, the name of the workflow, who it was created by, the warehouse(es) the workflow was created for, and the current status. 

In the top right, you can create a new workflow by selecting the Create Workflow button. You can use the dropdown menu to filter workflows by Status.  

 

On the left, you can use the search bar to finding a specific workflow. You can select the Actions menu next to a workflow to View a workflow’s information. 

 

Workflows have the following statuses: 

Draft - the workflow has been created, but not submitted 

Pending - the workflow has been created an submitted to the team for approval 

Live - the workflow is active (note that if the end date is passed, the workflow will not function even if the workflow is still ‘live’) 

Paused - the workflow is currently paused and will not run 

Deleted - the workflow is inactive 

 

How to Create a Workflow 

To create a workflow, select the Create button in the top right corner. This will open up a modal: 

Enter the name of your workflow, select which warehouse(es) the workflow will be active in, and the start and end dates. If you do not choose an end date, the workflow will run indefinitely. 

 

Please note that we require at least 2 business days to complete workflow requests, however, it may take longer depending on a variety of factors (ex. complexity, more information needed). 

 

Enter in a description of what the workflow should do. When you are finished, select the Create Workflow button to create a draft of your request. If you wish to delete your draft, you can do so by selecting the Actions > Delete option from the overview page. If your workflow is time-sensitive, please mention the time zone (ex. EST, CST) that it should abide by. 

 

To prevent any delays or confusion, please provide a detailed description of the action you want the workflow to do, as well as the exact SKUs in question.  

You’ll notice that your workflow goes into Draft status when the page refreshes: 

You will need to select Actions > View, and then select Submit Workflow. The system will ask you to confirm you wish to do this; select Yes, Proceed: 

Your workflow will then be placed in a queue for approval. 

 

If you need to make a revision or cancel your workflow at any time, you can select the Recall Workflow button when viewing your workflow (accessible from the Actions menu on the Workflow overview page). The team will be sent a notification to turn off your workflow. 

 

When making your workflow, please make sure you create a test order that fits the criteria and include it in your description. Every workflow must be tested by our engineering team. When creating a test order, please ensure that you place the order on hold and add special instructions so that they order will not be processed by the warehouse.
